Privacy Policy

Revised 10 September 2026

This policy explains how eBase Solutions, Inc. collects, uses, discloses and protects personal information through ebase-solutions.com and in its United States business operations. It also explains the choices and rights available to individuals.

This policy does not apply to websites or services operated by our Japanese affiliates. Those entities publish their own privacy notices at ebsi.jp. When we process personal information for a client, the client determines how that information is used and its privacy notice applies; our contract with the client governs our processing.

Personal information we collect

Information you provide. When you contact us, request information or communicate with our team, we may receive your name, company, email address, preferred language, product or service interests, and the contents of your message. We may also receive a job title, telephone number or other information that you choose to provide.

Website and device information. Our website, hosting provider and security provider may automatically receive an IP address, browser and device information, requested and referring pages, and the date and time of a request. They may use cookies or similar technologies needed to deliver and protect the site.

Client information. When we provide products or services to a client, we may process personal information contained in the client’s systems, documents or records. We process that information on the client’s instructions and under our contract with the client.

Sources. We collect personal information directly from you, automatically from your browser or device, from the organization you represent, and from clients that engage us to provide services.

How we use personal information

  • Respond to enquiries, requests and support questions
  • Provide and administer our products and services
  • Operate, protect and troubleshoot our website, systems and business
  • Improve our products, services and communications
  • Send service information or marketing communications that you request, subject to your right to opt out
  • Comply with legal, accounting, tax, contractual and security obligations

Cookies and similar technologies

The site may use cookies and similar technologies that are necessary for hosting, security, fraud prevention and basic operation. You can control cookies through your browser settings, but blocking necessary cookies may affect site operation. If we add analytics or advertising technologies, we will update this policy and provide any consent or opt-out mechanism required by law.

How we disclose personal information

We may disclose personal information to vendors that provide hosting, content delivery, security, email, communications and other business services; to professional advisers; and to eBase Solutions Group affiliates when needed to respond to a request or provide a service. These recipients may use the information only for the relevant service or as otherwise permitted by law.

We may also disclose personal information to comply with law or legal process, protect rights or safety, investigate misuse, or complete a merger, financing, acquisition, reorganization or sale of all or part of our business. We do not sell personal information or share it for cross-context behavioral advertising as those terms are defined by California law.

International processing

eBase Solutions, Inc. is based in the United States, and our group has operations in Japan. Personal information may therefore be accessed from or processed in the United States, Japan, or another country where a service provider operates. Privacy laws in those countries may differ from the laws where you live. We use contractual and other safeguards when required by applicable law.

Retention

We retain personal information for as long as reasonably necessary for the purposes described in this policy, including to provide services, maintain business and security records, resolve disputes, enforce agreements and meet legal obligations. The retention period depends on the nature of the information, why it was collected, relevant contractual requirements and applicable law. We delete or de-identify information when it is no longer needed, unless retention is required or permitted by law.

Security

We use administrative, technical and physical safeguards designed to protect personal information. The safeguards vary according to the nature of the information and the risks involved. No system or transmission method is completely secure, and we cannot guarantee absolute security.

Your choices and privacy rights

You may opt out of marketing emails by using the unsubscribe method in the message or by contacting us. Depending on where you live and subject to applicable exceptions, you may have rights to request access to, correction of, or deletion of personal information; receive a portable copy; restrict or object to certain processing; or appeal a decision about a request. You may also have the right to use an authorized agent and to receive equal service and pricing when you exercise a privacy right.

To submit a request, contact us using the details below and describe the request. We may ask for information needed to verify your identity or authority. We will respond as required by applicable law. We do not sell personal information or share it for cross-context behavioral advertising, so we do not offer a sale or sharing opt-out.

Sensitive information

Please do not include passwords, government identification numbers, payment-card details, health information or other sensitive personal information in a website enquiry or an initial email. If sensitive information is needed for a service, we will provide an appropriate method for sending it.

Children

Our website and services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13 through the website.

External links

Our website links to sites that we do not operate, including ebsi.jp. Their privacy notices, not this policy, govern their practices.

Changes to this policy

We may update this policy to reflect changes in our practices, services or legal obligations. We will post the revised policy and update the revision date. We will provide additional notice when required by law.
